Terms & Conditions

Welcome to Ihooro Safaris. These Terms & Conditions govern your use of our website and the booking of safari, travel, accommodation, transportation, and related services provided or arranged by Ihooro Safaris.

By accessing our website, making an inquiry, or confirming a booking with us, you agree to these Terms & Conditions.

1. About Ihooro Safaris

Ihooro Safaris is a Uganda-based safari and travel company offering customized travel experiences across Uganda and East Africa, including wildlife safaris, gorilla trekking, cultural experiences, scenic adventures, accommodation, transportation, and related travel services.

We may work with selected third-party service providers to deliver parts of your itinerary.

2. Safari Inquiries and Bookings

All inquiries are subject to availability.

A safari booking becomes confirmed only after Ihooro Safaris has received the required booking information and any applicable deposit or payment specified in your quotation or booking confirmation.

Your itinerary, quotation, and booking confirmation may contain additional terms specific to your trip. Where applicable, those terms form part of your agreement with Ihooro Safaris.

3. Prices and Quotations

Safari prices may vary depending on:

  • Travel dates
  • Number of travelers
  • Accommodation category
  • Transportation requirements
  • Activities and destinations
  • Park entrance and conservation fees
  • Gorilla or chimpanzee trekking permits
  • Changes in supplier prices
  • Exchange-rate fluctuations
  • Government taxes, fees, or regulatory charges

A quotation provided by Ihooro Safaris will normally state the services included and excluded.

Unless expressly stated otherwise, quotations are subject to availability and may change before booking confirmation.

4. Payments

Payment terms will be communicated in your quotation or booking confirmation.

Depending on the safari package, we may require a deposit to secure your booking, with the remaining balance payable before or during your trip.

Failure to make required payments by the specified deadlines may result in cancellation of reservations or services.

Any bank charges, transaction fees, or other payment-related costs may be the responsibility of the client unless otherwise agreed.

5. Gorilla, Chimpanzee and Other Permits

Where your itinerary includes gorilla trekking, chimpanzee trekking, or other activities requiring permits, permits may be subject to availability and the terms of the relevant authorities.

Once purchased, permits may be subject to strict cancellation, refund, transfer, or rescheduling conditions imposed by the relevant authority.

Ihooro Safaris cannot guarantee refunds for permits where the applicable authority does not allow a refund.

Clients are responsible for providing accurate information required for permit reservations, including names, nationality, passport details, and other required documentation.

6. Accommodation

Accommodation is subject to availability at the time of booking.

Where the accommodation specified in an itinerary becomes unavailable, Ihooro Safaris may arrange a suitable alternative of comparable standard.

Accommodation policies, including check-in, check-out, cancellation, meal plans, and additional charges, may vary between properties.

Any additional personal expenses incurred at accommodation facilities, such as drinks, laundry, room service, or other optional services, are generally the responsibility of the client unless included in the itinerary.

7. Transportation

Transportation may be provided using safari vehicles, private vehicles, domestic flights, scheduled flights, boats, or other appropriate means depending on the itinerary.

Travel times provided in itineraries are estimates and may be affected by road conditions, weather, traffic, border procedures, wildlife activities, or other circumstances beyond our control.

Clients are expected to follow reasonable safety instructions provided by drivers, guides, pilots, accommodation providers, and other service providers.

8. Changes to Your Safari

Clients may request changes to their itinerary after booking. Changes are subject to availability and may result in additional charges.

Changes to accommodation, activities, transportation, dates, or destinations may also be subject to the cancellation and amendment policies of third-party suppliers.

We will communicate any applicable additional costs before confirming significant changes wherever reasonably possible.

9. Cancellation by the Client

Cancellation terms depend on the services booked and the cancellation policies of our suppliers.

Any applicable cancellation charges will be communicated in your quotation or booking confirmation.

Certain services, including permits, accommodation, flights, and special arrangements, may have non-refundable deposits or cancellation charges.

Clients are strongly encouraged to obtain comprehensive travel insurance that covers trip cancellation, medical emergencies, evacuation, baggage loss, and other travel-related risks.

10. Cancellation or Changes by Ihooro Safaris

Ihooro Safaris will make reasonable efforts to operate trips as confirmed.

However, we may need to modify an itinerary where necessary due to circumstances such as:

  • Severe weather
  • Road or infrastructure conditions
  • Safety concerns
  • Government restrictions
  • Park or wildlife authority requirements
  • Accommodation or supplier availability
  • Flight cancellations
  • Natural disasters
  • Political or civil disruptions
  • Other circumstances beyond our reasonable control

Where significant changes are required, we will make reasonable efforts to provide suitable alternatives.

11. Travel Documents and Entry Requirements

Clients are responsible for ensuring that they have valid travel documents and meet all applicable entry, visa, vaccination, health, passport, and immigration requirements for their destination.

Ihooro Safaris may provide general travel information but cannot guarantee entry into any country or the approval of visas or permits.

Travel requirements can change, and clients should verify current requirements with the relevant government authorities before travelling.

12. Health, Fitness and Medical Requirements

Some safari activities may involve long drives, hiking, trekking, walking, changes in altitude, remote locations, or physically demanding conditions.

Clients should assess their ability to participate in their chosen activities and seek appropriate professional advice where necessary.

Clients should inform Ihooro Safaris of any relevant mobility requirements, dietary requirements, allergies, or other special arrangements that may affect the delivery of their safari.

13. Travel Insurance

Travel insurance is strongly recommended for all clients.

Insurance should, where appropriate, cover medical treatment, emergency evacuation, trip cancellation, delays, lost or damaged baggage, personal belongings, and other unforeseen travel circumstances.

Ihooro Safaris is not responsible for losses that could reasonably have been covered by appropriate travel insurance.

14. Personal Belongings

Clients are responsible for their personal belongings, travel documents, money, cameras, electronics, and other valuables throughout their trip.

Ihooro Safaris is not responsible for loss, theft, or damage to personal belongings except where liability cannot legally be excluded.

15. Wildlife and Adventure Activities

Safari and outdoor activities involve inherent risks, including encounters with wildlife, uneven terrain, remote locations, weather conditions, and road travel.

Clients must follow instructions provided by their safari guides and other authorized personnel.

Wildlife sightings cannot be guaranteed, as animals move freely in their natural environments.

16. Force Majeure

Ihooro Safaris shall not be liable for failure or delay in providing services caused by circumstances beyond our reasonable control.

Such circumstances may include natural disasters, severe weather, disease outbreaks, government actions, political unrest, strikes, road closures, war, civil disturbances, transportation disruptions, or other unforeseen events.

19. Third-Party Services

Ihooro Safaris may use or recommend third-party service providers, including hotels, lodges, airlines, transport companies, park authorities, activity providers, and payment platforms.

While we make reasonable efforts to work with reputable providers, their services may be governed by their own terms and conditions.

20. Limitation of Liability

To the extent permitted by applicable law, Ihooro Safaris shall not be liable for indirect, incidental, or consequential losses arising from circumstances outside our reasonable control.

Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is prohibited by law.

21. Complaints

We encourage clients to raise any concerns with their safari guide or Ihooro Safaris as soon as possible so that we have an opportunity to address the matter during the trip.

Complaints that cannot be resolved during the trip should be submitted to us as soon as reasonably possible after returning from the safari.

22. Privacy

Personal information provided to Ihooro Safaris is handled in accordance with our Privacy Policy.

Please review our Privacy Policy for information about how we collect, use, store, and protect personal information.

23. Governing Law

These Terms & Conditions shall be governed by the applicable laws of Uganda, unless otherwise required by applicable law.

Any disputes arising from the use of our services shall, where appropriate, be subject to the jurisdiction of the courts of Uganda.
